As an Exhibitor, you will receive:

-   One 6ft trestle table with cloth and two chairs. Please advise the events team if a table is not required.
-   Table cloths must be left after the event, failure to do so will result in a £12.50 penalty
-   A space for pop up banners or display material
-   Electricity if required. Please note: both "Electric" and "Non-Electric" stands are available when booking
-   A premium listing in the exhibition brochure - for stands booked before 12.30pm on the 1st October 2019
-   Two places at our Networking Breakfast
-   Lunch vouchers for two exhibitors
-   Wristbands for reduced teas & coffees serviced in the Garden Room all day


Once your booking is complete you will receive:

-   Email confirmation of booking which will include your Exhibitor Manual & Contract and a copy of your company profile, generated from the information provided from your booking

Before the 1st October deadline, you MUST:

-   Read and digest all exhibitor information provided in the manual
-   Sign and return the exhibitor contract - this can be found at the back of the manual
-   Send a scanned copy of your Company Liability Insurance, for a minimum of 2M cover - this can uploaded at the time of booking
-   Check all the details on the Company Profile - this information is used for your premium listing in the brochure and Social Media campaign, please ensure they are correct and confirm by email to events@essexchambers.co.uk

Electric and Non-Electric Stands
  • Due to restrictions at the venue, not all stands will have electricity. When booking, ensure to select the correct stall type (with/without electricity) that you require.
  • Exhibitors who have booked an exhibition stand with electric will have access to a single 13 amp socket. Extension leads may not be used unless they have been agreed in advance with the event organisers. It is the exhibitor’s responsibility to ensure that cables do not present a trip hazard. All equipment used will need to be PAT tested and labelled, or have evidence of the equipment being less than 12 months old. You will only have access to electricity if pre booked. This is not possible on the day.
Wi-Fi
  • There is FREE wi-fi at the venue.
Financial and Stand Booking
  • Full payment must be made for your stall when making your booking using either a credit or debit card. If you are unable to pay online, please contact our Accounts Department direct on 01206 363721 to discuss another payment method.
  • All exhibitors will receive an exhibition space including a 6ft x 3ft table and cloth together with two chairs.
  • Table cloths must be left after the event. Failure to do so will result in a £12.50 penalty.
  • Stands will be allocated by our events team in October 2019. If you have a preference as to which stand you would like, you can email: events@essexchambers.co.uk and we will take it in to consideration when allocating stands, however we cannot guarantee that you receive your preferred stand. Similarly, we cannot reserve stands.
  • You will receive 2 free staff places at the Networking Breakfast. Additional places can be booked and paid for online.
  • 2 exhibitor staff lunch vouchers are provided for use on the day. You will receive these on arrival at the venue. Additional lunches can be purchased at time of booking.
It is a condition of exhibiting that you must have a valid Public Liability Insurance for a minimum of £2M in place. This should be emailed to the Events Team no later than Tuesday 1st October 2019. Failure to do so will result in the cancellation of your booking. It is also advisable to be covered by insurance for any loss or damage of property.
  • The exhibition is open to visitors between 10:00am and 3:00pm and exhibition set up is from 7:00am (Exhibitors will not be permitted in the exhibition room before this time - your co-operation is very much appreciated) Further information is detailed in the Exhibitor Manual, which will be sent to you upon your stand booking.
  • There are no restrictions on the number of organisations in certain industry sectors.
  • Sales of food stuffs or drinks by stand holders are prohibited.
  • There shall be no more than one organisation per stand unless agreed in advance with the organisers
Cancellation Policy
  • At least 6 weeks’ notice of the cancellation of a booking is required to qualify for a full refund. By booking your exhibitor place online, you are hereby agreeing to provide 6 weeks' notice to cancel your exhibitor place and qualify for a full refund.
  • If you cancel within the 6 weeks’ notice period, a refund is not able to be provided
Exhibition Brochure
  • Each exhibitor will be provided with a FREE premium exhibitor listing. The information for your listing should be completed above. If we do not receive this information from you by Tuesday 1st October 2019, only your company name and stand number will appear. If any information about your organisation changes prior to the event, please notify the Events Team via email before the deadline in order for your business information to be displayed accurately in the Exhibition Brochure.
  • Additional advertising is available to purchase above for the brochure in either 1/2 page or full page adverts (brochure is 21cm x 21cm size). Please note - there is limited advertising space available in the brochure. We recommend booking the space for your advert early to avoid missing out. The deadline for advert submissions is Tuesday 1st October 2019. After this point, we will be unable to accept any new information.
Promotion
  • Exhibitors listing information will be used on our Social Media channels to promote the event. The information for your listing should be completed above. If we do not receive this information from you, your company will not feature in our promotions. If any information about your organisation changes prior to the event, please notify the Events Team via email in order for your business information to be displayed accurately.
  • Our Social Media team may contact you for further information.
  • Please advise the Events Team if you DO NOT wish to feature in our Social Media promotions.
